1. Select the REPLY SENDER option from within your compose screen (top right corner). This will group all of your canned responses while they're still staying in their original folders. If you'd like a more user-friendly approach, select the Living folder instead and drag individual templates there, so that new replies can be sent out via a nice looking template file.

Lastly, make sure you've really added the canned responses into your automation process. 

 

2. In case someone asks for one such email, type out their question or comment and copy the full text from there. It doesn't matter what language was used, swiping over to find that part will ultimately point everything back to the original (and most likely longer) comment.

 

3. We need to copy only that one chunk of text and replace the TO: tag with [name] instead. You can also select multiple messages at once by selecting them in your Inbox or Reply list, checkmark all without losing context though you still won't be able to see which users will get replies from this template file...

 

 

4. It's important not to overuse this feature, because you'll then have a bunch of generic replies that all look the same. In general, though they're pretty handy to keep people in "initial impression" mode!

 

5. After finishing your canned response doc and ensuring it will be sent along nicely out on these emails, make sure you set up any relevant filters within Gmail > Filters.

The person who wrote it is only notified if the canned email was opened, and not if it was edited or rejected. 

If you want to send your own canned responses be sure to use the Promoted Reply label feature so they are seen by your customers! There are a couple of limitations with canned responses. 

Firstly, they do not get previewed or editable until you activate them and then send them! Secondly, as noted before, if the recipient edits their email without activating it first you will never know about the change unless you log in to Gmail and see that your message has been edited!
